University Archivist and Outreach & Processing Archivist onboard and develop plan for conducting the CUNY-wide archives survey and gaining physical and intellectual control of CUNY Central Archives. Connect to stakeholders across the organization including the Archives Advisory Committee, Legal, Facilities, and the Graduate School of Information Science at Queens College.
June 2024 – January 2025
Archives survey begins at sites across CUNY. Student archivists hired to assist in survey and processing activities with an emphasis on creating minimal resource records in ArchivesSpace for each CUNY Archives. Goal is to document the extent, content, and location of every collection across CUNY. The team will select a limited number of unprocessed collections with high research value for fast-track processing to make them available for researchers. Meanwhile, the University Archivist will introduce a collection development policy for CUNY Central Archives and coordinate with staff responsible for records management to unify transfer, storage and access procedures for CUNY Central records.
January 2025 – June 2025
Digital Archivist onboards and develops plan to support rollout of ArchivesSpace, JSTOR Forum and Portico across CUNY archives. Survey and fast-track processing of select collections continues across CUNY campuses.
June 2025 – January 2026
Survey and fast-track processing of select collections continues across CUNY campuses. Digital Archivist supports set-up and development of ArchivesSpace, JSTOR Forum and Portico across CUNY Archives. Dissemination phase begins with project team presenting at strategically selected professional conferences and public forums.
January 2026 – June 2026
Digital Archivist supports set-up and development of ArchivesSpace, JSTOR Forum and Portico across CUNY Archives. Project team coordinates the call and selection process for faculty interested in developing public programs and lesson plans that center archival collections from across CUNY. The University Archivist and Outreach & Processing Archivist will support selected fellows’ research and incorporation of primary source materials into their teaching and public programs. Fellowship honoraria will support research time and projects’ implementation costs.
June 2026 – January 2027
Project team wraps up work of establishing ArchivesSpace and JSTOR Forum instances with archives staff across CUNY who wish to implement them. Project team will work with appropriate stakeholders to establish policies and workflow for CUNY-wide transfer of physical and electronic records for appraisal by CUNY Central Archives. Project team delivers final report of survey results and project outcomes. Faculty Fellows implement their lesson plans in Fall ’26 courses and produce public programs inspired and informed by their archival research. A day-long symposium functions as a capstone for the Cultivating Archives and Institutional Memory by showcasing the work of faculty and students engaging with collections.
